This policy explains how we process personal data when you use the Work Permit Desk website and software. It is a template for a software product, not legal advice. Have counsel review it before production use.
1. Who we are
Work Permit Desk provides operational software to help UK sponsor licence holders and their advisers manage compliance workflows. We are not the Home Office and we do not provide regulated immigration advice through the software.
2. Data we process
Depending on how you use the service, we may process:
- Account data — name, email, organisation, role
- Worker and compliance records you enter or import (identity, immigration, employment, documents, events)
- Usage and technical data — logs, IP, device/browser metadata, security events
- Support communications — WhatsApp, email, or other channels you use to contact us
3. Purposes and legal bases (UK GDPR)
We process data to:
- Provide and secure the service (contract / legitimate interests)
- Comply with law (legal obligation)
- Improve reliability and prevent abuse (legitimate interests)
- Respond to enquiries (legitimate interests / consent where required)
4. Processors and sub-processors
We may use infrastructure providers (hosting, email, AI extraction where enabled). Where we act as a processor for your organisation’s worker data, our Data Processing Agreement applies. See Data Processing Agreement.
5. International transfers
If data is transferred outside the UK, we use appropriate safeguards (e.g. UK IDTA / SCCs) as required.
6. Retention
Account and compliance records are retained for the life of your subscription and any longer period you configure or law requires. Soft-deleted evidence may be retained for UKVI-style retention windows you set in the product.
7. Your rights
Under UK GDPR you may have rights of access, rectification, erasure, restriction, portability, and objection. Contact support (WhatsApp +44 7448 313044 or your account owner) to exercise rights. You may complain to the ICO (ico.org.uk).
8. Cookies
We use essential cookies for authentication and security. Analytics cookies, if introduced later, will be described here and consented where required.
9. Changes
